Rental Administrator

Club Resco is looking for an organised, reliable and detail-focused Rental Administrator to support the day-to-day administration of our rental portfolio.

The Rental Administrator will be responsible for maintaining accurate tenant accounts, managing rental collections and payment allocations, monitoring arrears and supporting landlord and tenant administration. This is a hands-on administrative and financial role requiring practical PayProp experience, strong numerical accuracy and a professional approach to tenant and landlord relationships.

The Role

As Rental Administrator, you’ll play an important role in ensuring the rental portfolio is accurately and efficiently administered. You’ll manage tenant accounts and rental transactions on PayProp, monitor outstanding balances, assist with reconciliations and ensure payments, deposits and account adjustments are processed accurately.

You’ll work closely with tenants, landlords and the wider Club Resco team, handling queries professionally while ensuring rental administration, financial records and supporting documentation remain accurate and up to date.

Key Responsibilities

Manage rental collections and allocate tenant payments accurately on PayProp
Load new tenants, rental charges, deposits and recurring fees
Maintain accurate and up-to-date tenant accounts and rental records
Monitor rental arrears and proactively follow up on outstanding payments
Administer authorised payment arrangements and track agreed payments
Prepare tenant statements, arrears reports and month-end reconciliation information
Process and verify landlord payments, deposit refunds and approved account adjustments
Respond to tenant and landlord queries relating to payments, charges, statements and account balances
Assist with lease administration and maintain accurate supporting documentation
Maintain organised and up-to-date rental and financial records
Manage petty cash and ensure accurate recording of transactions
Provide general administrative support to the Club Resco team
Identify and resolve discrepancies in tenant accounts and escalate issues where required
Ensure all rental administration is completed accurately and within required deadlines

What We’re Looking For

Grade 12 or equivalent
Previous practical experience using PayProp is essential
1–3 years’ experience in rental administration, financial administration, collections, or a similar role
Basic accounting knowledge, including payment allocations, reconciliations, and understanding account balances
A relevant Finance, Accounting, Property or Property Administration qualification would be advantageous
Good computer literacy, with strong Microsoft Excel skills
Strong numerical accuracy and attention to detail
Excellent organisational and administrative skills
Ability to manage deadlines and work accurately under pressure
Clear and professional communication skills
A friendly but firm approach when dealing with rental arrears and outstanding payments
Professional, trustworthy, and reliable approach to handling financial information
Proactive attitude with the ability to work independently and as part of a team
Knowledge of rental legislation and property trust account procedures would be advantageous
